About The Opportunity

This role performs a variety of administrative, support, and corporate governance duties to assist the Legal team and corporate Human Resources team in all daily functions at GKN Aerospace North America headquarters in Irving, Texas.

CORPORATE GOVERNANCE / CORPORATE SECRETARIAL

  • Maintain corporate secretarial records for US subsidiaries and certain non-US subsidiaries and interface with division Secretarial function.

  • Prepare corporate secretarial documents, circulate and track required approvals, prepare Department of Defense registration filings and other legal filings as appropriate.

  • Interface with CSC on corporate secretarial filings.

  • Function as a notary

  • Demonstrate superior grammatical and proofreading skills

HUMAN RESOURCES ADMINISTRATION

Assist with recruiting, hiring, onboarding, and ongoing HR administrative tasks involving employees in the Irving, Texas office, including:

  • Assist with arranging work space and IT equipment setup for new hires/transfers;

  • Coordinate onboarding details with new hires, as well as offboarding details for separating employees;

  • Draft offer letters, office policies, hiring announcements, and other employment-related documents based on existing templates and information provided by HR;

  • Make entries into HRIS system as needed;

  • Arrange HR-related meetings and events;

  • Keep personnel files up to date and compliant with relevant requirements; arrange for destruction or storage of archived files.

INDIVIDUAL MANAGER SUPPORT

  • Develop appropriate support processes, manage executive calendars and appointments, and screen and direct calls

  • Provide general administrative support

  • Maintain electronic files on network and in Sharepoint, and paper files

  • Coordinate and complete travel preparation and accommodations; compile itineraries for trips and meetings

  • Collect all pertinent data for expense reports and submit to finance department in a timely manner

  • Handle routine correspondence and inquiry during management absences

  • Act as an on-site liaison and coordinator for executive management

  • Ability to interact effectively with employees, management, and the executives of our customer base

  • Ability to handle duties with the highest degree of confidentiality and professionalism

GENERAL OFFICE SUPPORT

  • Share receptionist / mail sorting / general duties with other administrative assistants for entire office

  • Coordinate small to large-scale onsite and offsite events and meetings

  • Interface with upper level contacts from internal and external customers

  • Coordination of payment of vendor invoices and expense reimbursements for department employees

  • Support accounts payable activities in filing and tracking where appropriate

  • Handle incoming departmental mail, sort, and respond to inquiries as appropriate

  • Supervise and administer off-site file program

  • Order supplies, equipment, and services following company guidelines and department requirements

Formal qualifications required:

  • Associates Degree required, Bachelor’s degree preferred

  • Minimum of 5 years experience in Executive Assistant role in a corporate office setting required

  • Minimum of 1 year of experience in preparing corporate secretarial documents

  • Minimum of 5 years of experience in office procedures and general math applications

  • Proficient in all Microsoft Office applications, including Outlook, Word, Powerpoint, and Excel, as demonstrated by at least 5 years’ experience

  • Ability to be bonded as notary
